Data collected and how it is collected

We only collect the data strictly necessary to process your request. This data is collected directly and explicitly when you fill in our contact form.

The data collected is as follows:

• Required data: Name, e-mail address.

• Optional data: Company name, phone number.

Note: our website does not offer user account creation.

Purposes of processing and legal basis

Your data is processed exclusively for the following purposes:

• Responding to your contact requests and providing you with information or quotes.

• Legal basis: The performance of pre-contractual measures taken at your request (GDPR Art. 6.1.b) and our legitimate interest in responding to the requests addressed to us (GDPR Art. 6.1.f).

We do not currently use your data for commercial prospecting (newsletters, automated e-mails). Should this change, your explicit consent (opt-in) would be requested beforehand.

Data sharing and processors

Yugen does not sell, rent or transfer your personal data to third parties for commercial purposes.

However, to ensure our website runs properly, your data may pass through or be securely stored by our technical service providers (processors), who are required to comply with the GDPR:

• Vercel: Hosting and deployment provider for the website, and anonymized audience measurement (Vercel Web Analytics).

• Resend: E-mail delivery provider, used to receive your contact form submissions. This transfer outside the EU is governed by the EU-US Data Privacy Framework and Standard Contractual Clauses.

• Google (Gemini, via Vercel AI Gateway): Provider of the AI model that processes the content of messages exchanged with the Yug assistant in order to generate a reply. This transfer outside the EU is governed by the EU-US Data Privacy Framework.

• Upstash: Technical provider used to limit the number of messages sent to the Yug assistant (abuse protection), which temporarily stores your IP address for this sole purpose before automatic deletion. Any transfer outside the EU is governed by the EU-US Data Privacy Framework and Standard Contractual Clauses.

Retention period

We keep your personal data only for as long as necessary for the purposes for which it was collected:

• For prospects (contact requests that do not lead to a contract): Your data is deleted 1 year after our last contact.

• If you become a client: Your data will be kept for the duration of our business relationship, then for 7 years to comply with our Belgian legal and accounting obligations.

Data security

We implement appropriate technical and organisational measures (such as the use of the HTTPS protocol to secure data transfers on our website) to protect your personal data against destruction, loss, alteration, unauthorised access or disclosure.

Your rights

In accordance with the GDPR, you have the following rights regarding your personal data:

• Right of access: Obtain confirmation that we are processing your data and request a copy of it.

• Right to rectification: Request the correction of inaccurate or incomplete data.

• Right to erasure (right to be forgotten): Request the deletion of your data.

Cookies, trackers and audience measurement

The Yugen website currently does not use any tracking or advertising-targeting cookies.

Only cookies and storage technologies strictly necessary for the technical operation of the site are used: a language preference cookie (lasting for the browsing session), and local storage on your device to remember whether you have already seen the intro video, the direction of a transition between pages, or whether you have closed the Yug assistant's welcome message. These technical elements do not require your prior consent and are never transmitted to a third party.

Privacy-friendly audience measurement

To measure our site's performance, we use Vercel Web Analytics. This tool collects aggregated, anonymized traffic data (pages viewed, device type, country of origin). It does not place any cookie on your device and does not track your browsing outside this site. This processing is based on our legitimate interest in analyzing our audience (Art. 6.1.f GDPR) and ensures smooth browsing, which is why no intrusive consent banner is required.
